Guidance webpage and Login to Clubmate

Please read these instructions on using Clubmate before you proceed any further

The Association uses Clubmate to maintain it’s database of members.

The web based system has a member’s profile that holds your ID details and photo.  It has membership plans which you can purchase that equate to our former membership categories, apart from the Parent and Junior plan which is no longer available, plus combined plans including a Night Permit.  Once you have purchased a plan, Clubmate will send you the Association’s plastic membership card for the current season and the club’s Handbook. The online admin fee will remain at £5 as a contribution towards Clubmate’s processing fees.  Clubmate only uses Stripe for card payments.

Please read the guidance sections below, particularly those relating to linking profiles together, for example, Husband & Partner, Junior and Children.

You will need to upload a portrait passport style head and shoulders photo of yourself from your PC, laptop or smartphone into your profile, showing only your face, which will be used on your membership card.  Suggest you do not use the webcam option when using a laptop or PC.

Alternatively, the Clubmate App can be used take a selfie.   You can download the Clubmate App for your Smartphone or iPad from the App Store associated with your phone (Apple Store or Play Store).  Login using your email address and password. Click on the Add a profile picture in the member’s portal – Add a photo – Choose file button – Select camera or Media picker.

If you are existing member, when registering with Clubmate, please ensure you use the email address that you provided the KDAA when joining this past year otherwise a duplicate account will be created and the system will view you as a new member and, in particular, stop you purchasing a night permit as an existing member. If you wish to use a new email address please contact me before registering.

Do not purchase more than one membership plan on your profile.  If you have already shared an email with another existing member  i.e. a family member, then your profiles will be automatically be linked and appear in a box in the bottom right corner of your profile and in your member’s portal.  If you wish to add another person who will share your email address, please see the the guidance sections below.

If your membership plan is purchase is successful, you will receive a confirmation email from the KDAA via Clubmate which you can use as proof of membership (preferably a printout) until your card and Handbook arrives which should be within 14 days of purchasing a membership plan.

When purchasing a membership plan ignore any reference to a promotional code.

1. Existing members

Follow the instructions in the guidance notes which are in two parts

  • Registering with Clubmate and updating your profile (Your name, email address, category and number have already been uploaded)
  • Renewing or purchasing a different membership

If you are an member that joined online last year (2023/24 season) please login by clicking on the ‘Login to Clubmate’ button above using the email address that you provided to the Association.

When registering with Clubmate please ensure you use the email address that you provided the KDAA when joining this past year otherwise a duplicate account will be created and the system will view you as a new member and, in particular, stop you purchasing a night permit as an existing member. If you wish to use a new email address please contact me before registering.

If you’ve not logged into your account previously, a one-time password will be emailed, and this will allow you access to the Clubmate website.

If you used your email address when applying for another member last year e.g. a junior or an adult relative then when you have logged into Clubmate you will see that the two profiles have been automatically linked.

Once the membership opens for the new season, when you log in on or after the 12th February, you will be able to renew your current plan or purchase a different ‘new’ membership plan.

The following year when you rejoin it will be more straightforward. You will only need to login, change any relevant details in your profile and then purchase your membership.

2. New members

Follow the instructions in the guidance notes which are in two parts

  • Registering with Clubmate and creating your profile
  • Purchasing a membership plan

Click on the ‘Login to Clubmate’ button above.

Click on ‘Not got an account’.

As part of registering your account you will receive an  email to click on a link to confirm your account and an email providing a one-time password.

We encourage new members to login and create their profile within Clubmate before the membership opens for new and prior season members on the 17 March as this will save time particularly if you intend to purchase a membership plan with a Night Permit.

Once the membership opens for the new season, when you log in on or after that date you will be able to purchase a ‘new’ membership plan.

3. Husband and Wife/Partner

If you choose this membership, for reasons of the clubs insurance, you will need to add your wife/partners ID details to your own profile. There is  no separate membership card issued for the wife/partner.  Just link the profiles but do not proceed to purchase a further membership plan. Click on Guidance Notes 3 link below.

4. Junior – aged 12 to 16

If you purchase a Junior membership plan who does not have their own email address then you need to add and link their profile to your profile and then purchase the Junior membership plan on their behalf.  A non-member can register and create their profile without purchasing their plan but purchase one for the Junior or simply use the email address of an adult who is not already registered with Clubmate. If you have already shared an email with another existing member  i.e. a family member, then your profiles will be automatically be linked and appear in a box in the bottom right corner of your profile and in your member’s portal.   Click on the Guidance Notes link 4 below.

5. Child – aged under 12

If you purchase a Child membership plan then you need to add and link their profile to your profile and then purchase the Child membership plan on their behalf.  A non-member can register and create their profile without purchasing their plan but purchase one for the Child or simply use the email address of an adult who is not already registered with Clubmate. 6.  Joining a friend or relative on their behalf

It is possible for any registered member that wants to act on behalf of someone that doesn’t have an email address or doesn’t want to go online themselves and purchase a membership.  Then you can add and link their profile to your profile and then purchase the appropriate membership plan on their behalf.  If you have already shared an email with another existing member  i.e. a family member, then your profiles will be automatically be linked and appear in a box in the bottom right corner of your profile and in your member’s portal.   Click on the Guidance Notes 4  below for step by step notes on how to add and link a membership profile.

7.  Access different profile accounts with different clubs?

If you are a member of more than one fishing club that uses Clubmate e.g. Colchester Piscatorial Society, you have the ability to manage all of your accounts under the one email address. You would have to create a profile for that club using their dedicated login to Clubmate via that club’s membership page. You can then switch easily between clubs and manage your memberships from one place. After you’ve logged into Clubmate, click on the three lines top left – a menu will appear in the left margin and click on ‘Change Club’. Click on the Guidance Notes 5 link below.

8.  Replacement photo ID membership card

If you lose your photo membership card, your may order a replacement card by clicking on the Online Shop tile in your Member’s area Dashboard.

There is a admin charge of £5.00.  After ordering the card, please email the Membership Secretary at kelvedon.daa@gmail.com to advise him that you have done so.

9. Replacing the uploaded photo in a profile

You can only upload a photo once in a profile. If you need to replace the photo, you will need to contact the Membership Secretary by emailing kelvedon.daa@gmail.com.

10. Photo ID membership card not received.

Allow 14 days for the card to be receive then contact the Membership Secretary.
